You can automate Xero, Sage and Shireburn workflows in Malta by connecting to each system either through its API or through scheduled file exports, then letting software (and AI where the input is messy) do the repetitive checking and data entry. Xero is the easiest to connect to, Sage depends on the edition, and Shireburn depends on what your licence includes. In every case a person should still approve anything that posts to the ledger or goes to the tax authority.
This guide covers the tools Maltese finance teams commonly run, how each can be connected, which jobs pay back first, and what to think about when payroll data meets AI. If you want us to build the connection, see our AI integrations service.
Which accounting, payroll and ERP systems do Maltese businesses use?
We see a mix, and most businesses run more than one system at once:
- Xero: cloud accounting, popular with accountancy firms and digital businesses.
- Sage (often Sage 50): common among long-established SMEs, frequently on older desktop installations.
- Shireburn Indigo: payroll and HR software from a Maltese vendor, with local statutory rules such as FSS built in. Shireburn also has finance products.
- Odoo: a modular open-source suite covering accounting, inventory and sales.
- Microsoft Dynamics 365 Business Central: a fuller ERP, usually in larger or growing companies.
- Zoho: a family of cloud apps (CRM, Books and others) used by some smaller firms.
We are not going to quote market shares because we cannot verify them. The practical point is that your tool decides your method, not the other way round.
How can each system be connected: API or file exports?
There are two broad patterns. An API lets software read and write data directly and on a schedule. A file export (CSV or Excel report) means a person, or a scheduled job, drops a file that the automation picks up. Exports are less elegant but reliable, and often the only option on older installations.
| System | Usual connection |
|---|---|
| Xero | Xero’s API, with CSV exports as a fallback |
| Sage 50 | Sage’s APIs where your edition supports them, otherwise scheduled exports and imports |
| Shireburn Indigo | File exports and imports, plus any integration options your licence includes |
| Odoo | Odoo’s external API (XML-RPC or JSON-RPC), or a custom module |
| Business Central | Standard APIs and Power Automate connectors |
| Zoho | REST APIs and webhooks (check the specific Zoho product) |
Shireburn needs a caveat. We have not found a public, general-purpose API reference for Indigo, and what is available to you depends on your licence and Shireburn’s current offering. Before anyone quotes you a “live integration”, ask Shireburn or your account manager what your licence includes. If the answer is “exports only”, a scheduled export into a checking step still works well. We confirm the exact method with you before quoting.
Which jobs are worth automating first?
Start where the work is repetitive, rule-based and easy to verify. In our experience that means:
- Bank reconciliation. Matching bank lines to ledger entries eats hours every month. See Xero bank reconciliation automation and the general automated bank reconciliation.
- Supplier bill capture. Reading PDF invoices, coding them and flagging duplicates. For Odoo users, we have vendor bill processing with AI. Our accounts payable automation guide goes deeper.
- Payroll checks before you run payroll. Comparing this month with last month, spotting new starters without a contract rate, catching a salary that changed by a digit. See Shireburn Indigo payroll data checks and export and payroll variance checking.
- VAT preparation. Checking VAT codes and EU treatment before the return. Our guide for accountants is AI for Maltese accountants: VAT returns and bank reconciliation.
Jobs to leave until later: anything that needs judgement about accounting policy, and anything where you cannot yet describe the correct answer. If you cannot say what “right” looks like, an automation cannot check it.
What does AI actually do here, and what should it not do?
AI earns its place where the input is unstructured: a scanned invoice, an odd bank narrative, a supplier name spelled three ways. It reads, extracts and proposes. Ordinary rules and matching handle the rest, which is cheaper and more predictable.
AI should not post journals unattended, change payroll rates, or file returns. The pattern we use is: the automation prepares and flags, a named person reviews exceptions, and only then does anything change in the system. Every action leaves a log you can show an auditor.
What about data protection when payroll data meets AI?
Payroll data is personal data, and it includes salaries, bank details, tax and social security information. Under GDPR you need a lawful basis, a clear purpose and sensible limits on who sees it. Malta’s data protection authority is the IDPC.
Practical points to settle before you connect anything:
- Minimise. Send an AI step only the fields it needs. A variance check does not need employee names; an employee ID will do.
- Know where data goes. Find out which provider processes it, in which region, and whether it is used for training. Get a data processing agreement in place.
- Control access. Use read-only credentials where you can, and a dedicated service account rather than someone’s login.
- Keep a human in the loop for decisions that affect pay.
- Document it. A short record of what the automation does with payroll data will save you in any later review. A data protection impact assessment may be appropriate for some setups.
This is general information, not legal advice. Confirm specifics with your data protection adviser. Our GDPR and AI automation guide for Malta covers the wider picture.
Frequently asked questions
Can I automate Shireburn Indigo?
Usually yes, but the method depends on your licence. File exports and imports are the common route, and some licences may include further integration options. Ask Shireburn what yours covers before planning around a live API.
Does Sage have an API?
Sage offers APIs for some of its products, but availability varies by product and edition. Older desktop installations often work best with scheduled exports, so check your version first.
Is it safe to let AI read payroll data?
It can be, if you minimise the data sent, use a provider under a proper data processing agreement, restrict access and keep a person approving changes. Treat it like any other processor of personal data.
How long does an integration take?
A single, well-scoped workflow on a system with a good API can be quick. Older systems, exports and several connected tools take longer. We scope it with you and give a fixed price up front.
Where Automata fits
We build integrations and automations on top of the systems you already run, including Xero, Sage, Shireburn, Odoo and Business Central, with the connection method agreed before we quote. Our AI integrations service is the place to start, and the ready-made automations linked above start from €99 for a single workflow. We do not replace your accounting or payroll software, and we do not file anything on your behalf.
If you are not sure which job to automate first, get in touch and we will look at your setup with you.
