How it works

The problem

Preparing the Maltese VAT return means turning a period of accounting entries into the figures the return asks for. The figures are usually in the books, but the checks take the time: whether each purchase invoice has a valid supplier VAT number, whether the right rate was used, whether sales to EU customers were coded correctly, and whether the ledger total agrees with the return. These checks are done by hand against the clock before the filing deadline, and a mistake means an amended return or a query from the Commissioner for Revenue.

What the automation does

We build an automation that reads your accounting data from Xero or Sage for the VAT period and checks each transaction before the return is prepared. AI reviews invoices for missing or invalid VAT details, wrong rate coding and unusual items, and groups the transactions by the figures the return needs. You get a draft set of figures with a reconciliation to the ledger and a short list of exceptions to fix. Your accountant reviews, corrects the books and files the return as they do today. We do not file on your behalf. The same pack is kept for each period, so when a query arrives from the Commissioner for Revenue or an auditor asks how a figure was reached, the supporting transactions and the checks performed are already assembled and dated. Accountants who look after several clients can run the same checks across all of them, and see at a glance which clients are ready to file and which still have exceptions open.

How AI does the work

AI handles 2 of the 6 steps in this automation. The other 4 steps are ordinary workflow and integration work, and your team reviews anything the AI isn't sure about.

  • Check each transaction. Invoices are checked for supplier VAT details, rate and code, and EU or non-EU treatment, and unusual items are flagged with the reason.
  • Group by return figure. Transactions are mapped to the figures on the return, with the mapping shown so the accountant can verify it.

Step by step

  1. 01

    VAT period closes trigger

At the end of the period the automation pulls sales, purchases and credit notes from Xero or Sage, with their VAT codes.

  2. 02

    Check each transaction ai

Invoices are checked for supplier VAT details, rate and code, and EU or non-EU treatment, and unusual items are flagged with the reason.

  3. 03

    Group by return figure ai

Transactions are mapped to the figures on the return, with the mapping shown so the accountant can verify it.

  4. 04

    Reconcile to the ledger integration

The totals are compared with the VAT control account, and any difference is traced to the transactions causing it.

  5. 05

    Draft return figures output

A review pack lists the proposed figures per line of the return, the supporting transactions and the open exceptions.

  6. 06

    Accountant review and filing output

The accountant fixes the books, confirms the figures and files the return themselves.

Works with

Prefer a fully custom build instead of an off-the-shelf integration? We confirm which applies when we confirm your price — most jobs like this one work fine on standard connectors, but higher-volume or non-standard systems sometimes need bespoke API work, reflected in the complex tier.

Where this goes wrong if you get it wrong

  • Tax rules and reporting requirements change, so the mapping has to be kept under review by someone qualified, and the automation should show its mapping instead of hiding it.
  • Auto-correcting VAT codes in the books without a person checking can hide a real error, so changes should be proposals the accountant approves.
  • Edge cases such as partial exemption, reverse charge and intra-EU services need human judgment, and the automation should flag them rather than pretend to settle them.
  • Preparing figures is not the same as filing, and the filing and the legal responsibility stay with the taxpayer and their adviser.

Frequently asked questions

Does it file the VAT return for us?

No. It prepares and checks the figures. Your accountant or finance team files the return as usual.

Does it work with Sage as well as Xero?

Yes. Xero is connected through its API. Sage is connected through its API or reports, depending on your edition.

Can it check supplier VAT numbers?

It can flag missing or badly formatted numbers, and can validate EU numbers against the European Commission's VIES service where you want that.

Is this tax advice?

No. It is a preparation and checking tool, and the tax position remains your adviser's responsibility.

What if my books have errors the check finds?

The exceptions list shows the transaction, the problem and a suggested fix. Your accountant corrects the books, reruns the check, and only then confirms the figures, so the return rests on cleaned data rather than assumptions.
